- From the Teams Homescreen, choose a team to view in detail.
- Click the anywhere in that team’s row to view details about this team. Here are details about the different views available:
a. Circle View: This information is particularly useful for managers to quickly understand their team dynamics. From viewing this animated visual, they can learn who is communicating with whom, who is managing their SmartTasks well, and who might need a friendly reminder to complete an assigned SmartTask. i. Team Name + Edit: The team whose detail you are viewing is displayed here. Click this button and the Edit Team window will open, allowing you to change the team name, add or remove members or mark the team as “inactive.” ii. Team Member: The person in the center (with the largest circle) is the Primary Leader of the team. All other team members are represented in the surrounding circle of avatars. iii. Total SmartTasks: The white number in each circle represents the number of ongoing SmartTasks. The red number in each person’s circle represents the number of SmartTasks whose deadline has passed. iv. Collaboration: The electron flow between team members reflects the amount of communication (emails, SmartTask assignments, kudos, etc.) happening within the group. The more electrons, the more activity is occurring between members. Activity in red indicates that SmartTasks are behind, or that a teammate has been “nudged.” v. Messaging: Use this instant messaging tool to communicate in real-time with teammates. Message team members (including extended users) using this tool, and a record of all communications will be maintained until manually deleted. To mention another user in a message, click the @ icon. A notification will be sent alerting that user that they have been mentioned in this communication. vi. Master Add Button: Use this button to add new members to your team. It can also be used to add projects, teams, or tasks. NOTE:Extended Teammates: Photos with a bright blue circle and the icon represent an Extended User. These individuals are external to your organization but have been invited to collaborate within Office. They can view whichever SmartTasks and communications you choose (when you set their security rights). b. Hierarchy View: This view is a simple way to see everyone’s role within the team hierarchy and how everyone is tracking on their SmartTasks. i. Team Name + Edit: The team whose detail you are viewing is displayed here. Click this button and the Edit Team window will open, allowing you to change the team name, add or remove members or mark the team as “inactive.” ii. The Primary Leader: The person at the top in this view (with the dark blue star) is the Primary Leader of the team. Leaders are denoted by a white star in the same location. Regular members are displayed without a star. iii. Total SmartTasks: The white number in each circle represents the number of ongoing SmartTasks. The red number in each person’s circle represents the number of SmartTasks whose deadline has passed. iv. Messaging: Use this instant messaging tool to communicate in real-time with teammates. Message team members (including extended users) using this tool, and a record of all communications will be maintained until manually deleted. To mention another user in a message, click the @ icon. It can also be used to add projects, teams, or tasks. c. Team Capacity View offers extensive detail at a glance about the workload and availability of the team. i. Teammates: Each member of your team is listed in this view in alphabetical order. Clicking on a team member’s name will bring you to a detailed calendar view of their SmartSchedule. ii. Capacity Averages: The center column displays the percentage of the next 90 days that are over capacity (red), slightly under capacity (orange), under capacity (yellow) and available (green). These percentages consider the Capacity and Calendar settings that each user has configured, which detail how much time they are available to work. They also consider SmartTasks assigned to the user and meetings on their calendar (via the calendar integration). Learn more about the Capacity and Calendar settings here. iii. Work vs. Meetings Breakdown: This third column shows the percentage of time over the next 90 days allocated to SmartTasks (purple) vs. the percentage of time allocated to meetings (grey). iv. Capacity Forecast: This visualization shows how your team’s capacity fluctuates in the coming weeks. Each work day is represented with graphs that display the breakdown of work vs. meetings and the overall capacity of that team member for that day. v. Zoom: Adjust the view settings on the Capacity Forecast, zooming in or out, or clicking Fit to return to the default zoom.
